Compare the final address and the flight together

Start with the flight that actually fits your travel dates and airline requirements, then compare the complete journey to the destination. An airport that looks close to a region name may not be the simplest ground route to the particular office, hotel, or meeting entrance. Use the same date and arrival window when asking about each airport.

Include the return journey as well. A favorable inbound flight can create an inconvenient departure when the final meeting is elsewhere in the Bay Area. If the trip includes San Francisco and Silicon Valley stops, give the coordinator the sequence rather than asking for an airport choice in isolation. SJC states that limousine service from the airport must be pre-arranged. Its listed pickup points differ for Terminal A, International Arrivals, and Terminal B, so confirm the location associated with the reservation and actual arrival. At OAK, use the airport-specific instructions on your confirmation and current signs. A terminal or flight change should prompt a check of the meeting plan.

Include luggage, connections, and the last door

When comparing ground options, account for the station-to-door or pickup-to-door segment as well as the main journey. SFO’s BART station is in the International Terminal, with AirTrain connections to the airport terminals. Check current rail service and any onward connection rather than assuming the train finishes at the hotel or campus entrance.

For a reserved vehicle, submit exact addresses, passengers, bags, and any additional stops to get a route quote. For a group arriving on several flights, decide whether the first passengers will wait or travel separately and include that choice in the request.
